Background and challenges

The old situation caused a lot of frustration and financial risks. Declarations were processed manually by external parties, without the foundation having insight into the details. As a result, the organization lost money and lacked control over the administration.

In addition, work was done with multiple parties such as ZorgApp, FM Zorg and Vecozo links, which did not form an integrated whole. The declaration process was slow, error-prone and inefficient.

The greatest wish of Stichting Lotus: one system in which everything is visible and automated, with as little room as possible for human errors.

The solution

Qualogy developed a completely new Mendix application with a direct link to Vecozo. The solution automated the entire declaration process:

Automatic responses to Vecozo messages (accepting, starting, stopping allocations). Control of declaration limits per customer. Automatic processing of responses and offsetting with monthly totals. Dynamic import and export functionalities that seamlessly connect to the old application.

Through this integration, the declaration process has become much less error-prone. One mistake in a declaration could previously lead to complete rejection, but that risk is now strongly minimized.

Implementation and process

The project was carried out in two phases:

1. Rebuilding and speeding up the old application. 2. The implementation and test phase of the Vecozo link.

The collaboration went smoothly thanks to short lines and frequent demos to share progress. Qualogy proved to be flexible and involved – even outside working hours in emergencies.

An important challenge was the complexity of Vecozo: the documentation was limited and the right contact persons difficult to find. Eventually, Qualogy managed to find the necessary expertise and support through the Ketenbureau i-Sociaal Domein, enabling the link to be successfully realized.
