Lotus Home Support Foundation digitizes claims process with Mendix application

Lotus Home Support Foundation, active in the healthcare sector, faced a major challenge: their existing application was slow, error-prone and dependent on multiple external parties to process claims. The goal of working with Qualogy was clear: one all-in-one application that could handle claims easily and error-free, with full visibility into exactly what was being claimed.

The board, consisting of Kasper Spruyt and Sathies Bhulai, was closely involved in this project.

Background and challenges

The old situation created a lot of frustration and financial risk. Claims were processed manually by external parties, without the foundation having access to the details. This caused the organization to lose money and lack a grip on the administration.

In addition, it was working with multiple parties such as ZorgApp, FM Zorg and Vecozo links, which did not form an integrated whole. The claims process was slow, error-prone and inefficient.

Lotus Foundation’s biggest wish: a single system in which everything is insightful and automated, with as little room for human error as possible.

The solution

Qualogy developed a completely new Mendix application with a direct link to Vecozo. The solution automated the entire claims process:

  • Automatic responses to Vecozo messages (accept, start, stop allocations).
  • Control of claim limits per client.
  • Automatic processing of responses and settlement with monthly totals.
  • Dynamic import and export functionality that seamlessly integrates with the legacy application.

This integration has made the claims process much less error-prone. One mistake in a claim could previously lead to complete rejection, but that risk is now greatly minimized.

Implementation and Process

The project was implemented in two phases:

1. Rebuilding and accelerating the old application.
2. The implementation and testing phase of the Vecozo linkage.

Cooperation went smoothly thanks to short lines of communication and frequent demos to share progress. Qualogy showed flexibility and commitment – even outside working hours for emergencies.A major challenge was the complexity of Vecozo: documentation was limited and the right contacts were hard to find. Eventually Qualogy managed to find the necessary expertise and support through the Ketenbureau i-Sociaal Domein, enabling the link to be successfully realized.
